OneDrive for Business
OneDrive for Business provides you with 5TB of storage for you to manage student files. You can then access and share them from your phone, tablet, and computer. There is a maximum file size limit of 2GB and a file/folder count limit of 20,000 files.
Accessing OneDrive
Access OneDrive for Business from your browser
- Navigate to https://portal.office.com
- Enter your student email address and password.
- Tick Keep me signed in.
- Please note: Ticking the "Keep me signed in" check-box ensures that you don't need to enter your email address each time you visit the page.
- Click Sign in.
- Click OneDrive.
To access OneDrive on your smartphone, you will need to install the OneDrive app from the relevant app store.
- iOS devices i.e. iPad, iPhone, iPod Touch. Search for OneDrive for Business in the Apple App Store
- Android. Search for OneDrive for Business in the Google Play store
- Windows 11 & 10
- Mac OS.
Using OneDrive
Yes, you can sync your OneDrive for Business data with your personally owned Windows or Mac computer using the OneDrive for Business application.
- Navigate to https://portal.office.com
- Enter your student email address and password
- Tick 'Keep me signed in'
- Ticking the "Keep me signed in" check-box ensures that you don't need to enter your email address each time you visit the page.
- Click Sign in
- Click OneDrive
- Click Sync
- Click Get the OneDrive for Business app that's right for me
- Select your preferred language
- Click Install
- Once the install has completed, return to the Office 365 portal
- Click OneDrive
- Click Sync
- Click Sync now.
If prompted, select Microsoft OneDrive for Business and set it as the default application.
On a La Trobe University student computer, use the Web version of OneDrive (https://portal.office.com).
Yes, you can edit Word, Excel and PowerPoint documents using Office Online.
Yes, you can share your files with individuals inside and outside of La Trobe University.
Sharing documents using OneDrive
- Navigate to https://portal.office.com
- Enter your student email address and password
- Tick Keep me signed in

- Click Sign in
- Click OneDrive
- Locate the file you wish to share and click the ... (three-dot menu icon) to the right of the file
- Click Share
- Enter the email address(s) for the individual(s) you wish to share the file with and click Share.
The individual(s) you have shared the file with will receive an email notification.
Note: Once you have shared a file or folder, the only way to un-share it is to go back to the file or folder you shared and remove the sharing.
- In your internet browser, navigate to https://portal.office.com
- Log in with your La Trobe email address and password
- Under Collaborate with Office Online, click the OneDrive tile
- Click the three-dot menu (...) to the right of the file or folder name you wish to share
- Select Share
- In the Share window, choose one of the sharing options:
Invite people
Sends the invitee and email to let them know you've shared a file with them. Provides you with a link you can use in an email message, social media or wherever else you’d like to use the link.
- Enter your colleagues email address and click the pop-up window displaying their email address to confirm.
- Select whether you would like to grant to Read Only (Can view) or Full Access (Can edit) from the drop-down list.
- Add a personalised message (optional).
- Select whether or not you require them to sign-in to OneDrive. Note: Un-tick this option if your colleague is from outside La Trobe University.
- Click Share.
Get a link
- Select the type of link you would like to create:
- Restricted
- View - LTU account required
- Edit - LTU account required
- View - no sign-in required
- Edit - no sign-in required.
- Copy the hyperlink and paste it into your email, social media etc.
- Open the OneDrive app.
- If you don't have OneDrive installed yet, see Install OneDrive for Business on your mobile or tablet.
Locate and tap the file or folder you wish to share and,
At the bottom of the screen, tap Share (box with up-arrow).
Select one of the sharing options:
Invite people
Sends the invitee and email to let them know you've shared a file with them. Provides you with a link you can use in an email message, social media or wherever else you’d like to use the link.
- Enter your colleagues email address or tap Add (plus-sign) to select from your contacts.
- Select whether or not you would like your colleague to be able to edit the file.
- Tap Add.
Copy link
The link will be copied to the clipboard, you can now paste it into your email, social media etc.
Share a file
- Open the OneDrive app. If you don't have OneDrive installed yet, see Install OneDrive for Business on your mobile or tablet.
- Locate the file you wish to share and tap Details ( i ).
- Tap Share (orange circle) in the bottom-right corner.
- Select one of the sharing options:
Share a link
Allows you to share the file with other University staff via apps on your phone.
- People within La Trobe University can edit.
- People within La Trobe University can view.
Invite people
Allows you to share a link with anyone via email.
- Enter your colleagues email address.
- Select whether or not you would like your colleague to be able to edit the file.
- Tap Send (right-arrow) at the top-right.
Share a folder
- Open the OneDrive app. If you don't have OneDrive installed yet, see Install OneDrive for Business on your mobile or tablet.
- Locate the file you wish to share and tap Details ( i ).
- Tap Share (orange circle) in the bottom-right corner.
- Select Invite people - allows you to share a link with anyone via email.
- Enter your colleagues email address.
- Select whether or not you would like your colleague to be able to edit the file.
- Tap Send (right-arrow) at the top-right.
- Open the OneDrive app. If you don't have OneDrive installed yet, see Install OneDrive for Business on your mobile or tablet.
- Locate the file(s) or folder(s) you wish to share.
- Tap Item select (checklist icon) and tick the select boxes for the file(s) or folder(s) you wish to share.
- Tap Share (circle with three dots icon).
- Select one of the sharing options:
Share a link

Backing Up OneDrive
You can download files and folders from OneDrive to your computer with just a few clicks. Here's how:
- Log into office365.latrobe.edu.au
- Click the 'OneDrive' tile (top-left)
- Select one or all the files/folders by clicking on the circular boxes next to them
- Towards the top of the page click 'Download'
Your files will be downloaded as a .zip folder.
