Employing Casual Staff
Procedures
No work must commence without a signed contract of employment in place.
Read and action the Human Resources Information Sheet for Managers and Administrators: engagement of Casual Staff Members
Obtain the information that you will need to make the appointment
- the duties that the staff member will be required to perform
- the name of the staff member who will supervise the work of the appointee
- the number of hours the casual staff member will be required to work
- the appropriate rate of pay and the classification code
- the cost centre and fund that the position will be paid from
- whether the duties require a Working with Children Check
- if not an Australian citizen ensure that the original Working Visa is valid or letter from the Department of Immigration and Citizenship is provided.
- Ensure that the Guidelines and Checklist for Orientation of New Staff Members is downloaded and completed. This can be obtained from http://www.latrobe.edu.au/hr/forms/orientation.htm
- If a Working with Children Check card is required, please refer to http://www.latrobe.edu.au/hr/recruitment/working-with-children/
The contract
- For new, re-instated and part-time employees download and complete the 'Casual Employment form'.
- For existing casual employees download and complete the 'Casual Additional Wage type form'.
Please note - the Additional Wage Type form can only be used after a new version of the Casual Employment Form has been processed by Human Resources.
- Have the form authorised by the Head of School or equivalent, the supervisor and the casual employee.
- Ensure that employee has received the Human Resources Information Sheet for Casual Employees (regulation of your employment conditions at La Trobe University)
- Forward the original to Human Resources; copies should be kept by the Department and the employee.
Forward the following forms to Human Resources by the Payroll deadline
- Original Casual Employment form or Casual Additional Wage type form
- Tax File Number Declaration Form (does not apply for existing employees if no change is to be made. Employees to be re-instated are required to complete this form)
- Copy of Working Visa (if applicable) or a letter from the Department of Immigration and Citizenship
- Ensure ALL fields are completed to avoid delays in processing
